Within 9 days new bills arrive for all our servers, media storage and email sends and at this moment I am roughly €500 short on the total estimate of €1400..

@stux Is that €1400 per month? I know you've got some big instances, but that sounds like a lot. Is the cost roughly the same every month? I've seen other admins post their costs and regular donations - this might be a good way to encourage people to donate because they know the target you need to make
Can the remote media cleaning be done automatically to keep bills down before it happens?
